Kolleno pricing is per user. BusinessPay costs $650 per user per month, or $545 billed annually, and Business Plus costs $1,245 per user per month, or $995 annually, with a two-user minimum. Enterprise and Enterprise Plus are custom quotes. A two-seat Business Plus team therefore pays $23,880 a year on annual billing before any integration or customization charges (kolleno.com/pricing, USD view, re-checked October 2026).

That puts Kolleno at the top of the published price range for accounts receivable software, several times what most small and midsize US teams pay for collections tools. It can still be the right purchase, because Kolleno bundles a payment portal, reconciliation and ERP connectors that cheaper tools leave out. The question for a buyer is whether you need that bundle, or only the part that gets overdue invoices paid.

How much does Kolleno cost?

Kolleno shows prices in the visitor's local currency, and the number stays the same across currencies: a European visitor sees €650 where a US visitor sees $650. Every figure below is the dollar view, read on its own pricing page and re-checked in October 2026, when nothing had changed since September.

PlanMonthly billingAnnual billingMinimum usersPositioned for
BusinessPay$650 per user$545 per user1Companies above $1M annual turnover
Business Plus$1,245 per user$995 per user2Above $10M turnover
EnterpriseCustomCustom2Above $100M turnover
Enterprise PlusCustomCustom4Above $1Bn turnover (the page's own comparison table says above $10Bn)

Kolleno's page notes that extra charges may apply for integrations, customizations and other add-ons, and that SMS messages and calls come as an allowance of roughly 100 to 600 depending on plan. Budget for both before you compare the headline number with anything else.

What does Kolleno cost per year for a real team?

Per-user pricing is easy to underestimate because the quote you see is for one seat. Here is the arithmetic for common team shapes, using the published list prices.

TeamMonthly billing, per yearAnnual billing, per year
1 user on BusinessPay$7,800$6,540
3 users on BusinessPay$23,400$19,620
2 users on Business Plus (the minimum)$29,880$23,880
4 users on Business Plus$59,760$47,760

Annual billing saves $1,260 per BusinessPay seat and $3,000 per Business Plus seat each year, so if you are going to buy, the annual contract is the obvious choice. The catch is that every person who needs to work collections, including a controller who only checks in weekly, adds a full seat.

What do you get for the money?

Kolleno is a broad receivables platform, not only a reminder tool. BusinessPay includes Xero, QuickBooks and Sage Intacct integrations, a customizable payment portal with several payment options and payment links, a customer dashboard and a shared collections inbox. Business Plus adds automatic reconciliation, an invoice dashboard, customer portfolios, team collaboration, reporting and analytics, workflow automation, onboarding and training, and AI agent support. Enterprise adds NetSuite, Microsoft Dynamics Business Central, SAP and Oracle Fusion connectors and human agent support.

Automatic reconciliation is one of the features that justifies the Business Plus price for some teams. If matching incoming payments is your real bottleneck rather than chasing, a dedicated account reconciliation software tool can cover that job on its own, and you can then price collections separately.

Is Kolleno worth it?

Kolleno is worth it when three things are true: several people work receivables every day, you want payments, reconciliation and chasing in one system, and your ERP is one of the systems it connects to. A finance team at a company with $10 million or more in revenue and a few thousand open invoices will use most of what it pays for.

It is usually not worth it when one person spends a few hours a week on overdue invoices. In that case most of the per-seat price pays for portal, reconciliation and reporting features that nobody opens, and the work that actually brings money in, a clear follow-up on every past due invoice until it is paid, costs a fraction of that elsewhere.

A quick check: divide the annual Kolleno quote by the dollars currently more than 60 days past due. If the answer is above 10%, you are paying close to what a collection agency would take, and a narrower tool will leave more of the recovered money in the business.

Cheaper Kolleno alternatives for US finance teams

These tools publish their prices, and none of them charge per collections seat at Kolleno's level. All figures were read on each vendor's own pricing page in September 2026. Kolleno sells itself as credit control software, the British name for this category, and our credit control software comparison prices seven of these tools in dollars for a US team.

Kolleno vs DebtAgent

DebtAgent covers the slice of Kolleno that turns overdue invoices into cash. An AI accounts receivable agent drafts an escalating email sequence for each past due invoice with the real amount, invoice number and due date, you approve the wording once, and it sends on schedule until you mark the invoice paid. A four-person team pays the same $149 a month as a one-person team.

What DebtAgent does not have: a payment portal, reconciliation, ERP connectors or live ERP sync. It works from the aging report your accounting system already exports. If you need those features, Kolleno or Chaser is the better purchase. If you do not, the difference on a two-seat Business Plus contract is about $23,000 a year.

Kolleno vs Chaser

Chaser is the closest like-for-like platform with a published price. Its Core plan at $779 a month includes unlimited users, which beats Kolleno once you have more than one seat, and Complete at $1,169 adds a receivables forecast and an account manager. Chaser does not bundle Kolleno's level of reconciliation. See the full breakdown in our Chaser alternative comparison.

Kolleno vs Upflow

Upflow publishes no subscription price. It prices plans by yearly invoice value, sells annual contracts with unlimited seats, and lists a payments add-on at $390 a month. For a larger team that will pay for a platform either way, unlimited seats can make Upflow cheaper than Kolleno at four or more users, but you will only know after a sales call. The same is true of the other quote-only suites: buyer data puts the median Tesorio contract at about $17,600 a year, and our Gaviti alternative comparison shows what Gaviti does and does not publish.

How to choose in one week

  1. Count the people, not the invoices. Write down everyone who would need a login. Per-user pricing is decided by this number.
  2. Split the jobs. List what you actually need: chasing, a payment portal, reconciliation, ERP sync, reporting. Anything nobody will use in the first 90 days should not drive the purchase.
  3. Run your ten oldest invoices through a cheaper tool. If a flat-fee chasing tool clears most of them, you have your answer on the collections side.
  4. Price the first year in full. Seats times months, plus integration and customization charges, against the dollars you expect to recover.

For a small or midsize business that mostly needs the chasing, start with our roundup of the best accounts receivable software for small business, or go straight to DebtAgent pricing and run one real overdue invoice through the agent.

Does Kolleno have a free plan or free trial?

Kolleno's pricing page lists four paid plans and no free plan. The cheapest route in is BusinessPay at $545 per user per month on annual billing.

What is a cheaper alternative to Kolleno?

For teams that mainly need overdue invoices chased, DebtAgent costs $49, $149 or $499 a month per organization with no seat count. InvoiceSherpa starts at $49, Paidnice at $69 and Chaser at $259 a month. None of them match Kolleno's bundled reconciliation and ERP connectors.

Is Kolleno good for small businesses?
