Refund Policy
In force from October 14, 2026
A DebtAgent payment stays with us once it has been taken. Money goes back only when the charge itself went wrong, in the three cases described in section 2. Before paying you can try the demo sequence, and after paying you can switch renewal off on your own at any moment.
1. Recovery results do not change the fee
DebtAgent is billed monthly or yearly as a subscription that gives your collections team the platform within the limits on the pricing page. You pay for access during the period, with the full platform open from its first day. You do not pay per debtor, per reminder or per dollar collected, and the fee is the same however many accounts you import. For that reason we do not pay anything back in situations like these:
- Debtors who never answered, disputed the balance or simply did not pay. Recovery depends on the debts, the people who owe them and your own terms.
- A month or year in which nobody on the team signed in or started a sequence.
- A renewal you intended to stop, one you stopped a day late, or one that cleared after earlier declined attempts.
- Believing you were making a single payment, although automatic renewal is spelled out on pricing, at checkout, in the receipt email and in the billing portal.
- Debtor records you imported that were wrong, stale or incomplete, or your own phone numbers and mailboxes being blocked or set up badly.
- A channel paused or a sequence held because sending it would have broken the FDCPA, Regulation F or the acceptable use rules.
- A capability missing from the pricing page, or one that works differently from what you expected.
- The wrong tier, billing interval or user count chosen at checkout.
- Days left after you switch renewal off; we never split a period or pro-rate it.
- A suspension under the Terms of Service for misuse, harassing debtors included.
- Whatever was done by people you allowed into the account.
2. Three cases where we pay back
Each case must be confirmed by our records before anything is returned.
- A double charge. Our billing collected twice for one period.
- Your card, but not your purchase. You tell us within 14 days of the payment and the account log plus the payment record show that you did not buy it. A statement from you does not close the question; we can ask for proof that the card issuer was told about the misuse.
- A platform that did not work at all. Because of a fault we confirm on our end, no part of DebtAgent could be used for an unbroken stretch, you reported it during that stretch, and we did not fix it. Slower sending, a partial outage, or trouble with your devices, network or data fall outside this case.
A refund is capped at the price of the affected period, is sent only to the card that paid, and fully settles our liability for that charge. Getting one refund gives no right to a further one.
3. Asking for a refund
Send an email to [email protected] from the address your DebtAgent account is registered to, and do it inside the 14 day window that opens on the charge date. Quote the charge date and the dollar amount, then name the case from section 2. We do not review requests that arrive late or through any other channel. We read them in order of arrival with no fixed response time, and a refusal is final.
4. Switching renewal off
Your plan renews automatically until renewal is switched off in the billing portal; there is no notice period and no need to email or call anyone. The change applies to all future periods immediately, and the team keeps working in DebtAgent until the current paid period ends. It does not undo a payment already collected and does not count as a refund request.
Each period becomes payable on its first day. When the card is declined, the amount remains owed and is tried again over the next days. Those retries chase a single open invoice and add no new charges. Once collected that way the renewal is final, even if renewal was switched off while the retries were running. To skip the next renewal, switch it off before the date the portal shows.
5. Immediate start of service
Subscribing is a request for us to start the service at once. Where a statutory cooling-off period or right of withdrawal would otherwise exist, you accept that it ends once we have started at your request.
6. Our records and bank disputes
Opening an account includes accepting the Terms of Service, of which this page is a part, and the Privacy Policy. Each subscription leaves a record with us: when it was bought, the tier and price displayed at checkout, the acceptance of the terms, every email we sent, and the account log of sign-ins, debtors imported, sequences launched and messages sent, with technical details. The payment operator separately records every charge with the card's issuing country, the origin of the payment and the 3D Secure outcome.
We weigh any claim of an unauthorised charge against those records. A chargeback filed without first writing to us breaks the Terms of Service; the records then go to the card issuer and the account is closed for good.
7. Purchases before this policy
Plans bought before October 14, 2026 stay under the refund terms published on their purchase date.
