Kolleno pricing, Nov 2026 Billed per organization CSV import on every plan

Kolleno Alternative and Kolleno Pricing Compared With Flat-Fee Collections

Kolleno prices every seat, from $545 a user a month on annual billing. If the job is getting overdue B2B invoices paid, DebtAgent drafts escalating emails in your company's name from a CSV export for a flat monthly plan.

Billed per organization, not per user. You remain the creditor of record. Payments go straight to your business.

The short answer

Kolleno charges per user: Business Pay is $650 a user monthly or $545 on annual billing, Business Plus is $1,245 or $995 with a two-user minimum, and the higher plans are custom. DebtAgent is a Kolleno alternative for US teams whose real problem is overdue invoices, from $49 a month or $294 a year on yearly billing, with every colleague included. Keep Kolleno if you need its payment portal, reconciliation and ERP connectors in one platform.

01 Choose around your overdue invoices

Six questions to answer before you pay for a Kolleno seat

Kolleno is a broad receivables platform. DebtAgent does one job, getting overdue B2B invoices paid. Decide which job is costing you cash.

01

How many people touch collections?

Kolleno bills per user, so a controller who checks in weekly adds a full seat. DebtAgent bills per organization: Starter $49, Plus $149, Pro $499 and Enterprise $898 a month, with your whole team included.

02

Do you need a payment portal and reconciliation?

Kolleno bundles a customizable payment portal and, on higher plans, auto reconciliation. If matching incoming cash is your bottleneck, that bundle is a real reason to pay for it. DebtAgent includes a debtor payment page, not a reconciliation engine.

03

What does a small team really spend?

One BusinessPay seat on annual billing is $6,540 a year. The two-seat Business Plus minimum is $23,880. A year of DebtAgent Starter on yearly billing is $294, Plus $894, Pro $2,994.

04

Which accounting system do you use?

Kolleno lists Xero, QuickBooks and Sage Intacct from the entry plan, with NetSuite, SAP and Oracle Fusion on Enterprise. DebtAgent imports a CSV from any system on every plan, and syncs QuickBooks and Xero on Pro and Enterprise.

05

Who writes the follow up?

DebtAgent drafts escalating emails in your company's name and you review them before use. SMS and voice come from Plus through your own Twilio account, and a per-debtor Hold pauses outreach while a conversation is live.

06

Who receives the payment?

Payments go straight to your business and you stay the creditor of record. DebtAgent does not process cards, hold funds or take legal action.

02 How it works

Four checks before you commit to a per-seat contract

Run this on your real aging report. The point is to see which overdue invoices a reminder sequence would actually move.

  1. Step 1

    Count the seats

List everyone who must log in to chase invoices. Multiply by the Kolleno rate for your plan, then compare with a flat monthly plan.

  2. Step 2

Draft a sequence from your data

Import the overdue CSV into DebtAgent and read the drafted emails as your customer would. Confirm sender and payment details.

  3. Step 3

Match the plan to active debtors

Starter covers 50 active debtors, Plus 250, Pro unlimited. SMS and voice need Plus and your own Twilio account.

  4. Step 4

    Ask Kolleno what is extra

Request written scope for integrations, customization and SMS or call volume beyond the plan allowance, then compare the total with the subscription here.

Best fit and where Kolleno wins Owner or controller chasing overdue B2B invoices from any system Finance teams that want portal, reconciliation and ERP connectors in one platform

DebtAgent replaces overdue follow up, not your whole receivables stack. Keep Kolleno if you need the portal and reconciliation.

How much does Kolleno cost?

Kolleno publishes prices per user. Business Pay is $650 a user monthly or $545 on annual billing. Business Plus is $1,245 monthly or $995 annual, with a two-user minimum. Enterprise and Enterprise Plus are custom. Our Kolleno pricing breakdown works through team sizes: three Business Pay users on annual billing come to $19,620 a year, and four Business Plus users to $47,760.

DebtAgent yearly billing is six monthly payments for a full year: Starter $294, Plus $894, Pro $2,994.

What is the best alternative to Kolleno?

It depends on the job. For chasing overdue invoices on a published budget, DebtAgent and Chaser list prices. Billtrust, Invoiced, HighRadius and Tesorio are the usual names on larger-team shortlists, mostly quote-based. See our Chaser alternative and HighRadius alternative pages, or the best debt collection software roundup.

Is Kolleno worth it for a small business?

It can be if you will use the payment portal, reconciliation and ERP connectors, and if two or three people work collections daily. If the problem is a list of invoices that are 30 to 90 days late, per-seat pricing pays for features you may not touch. Test a drafted sequence on your actual aging report before signing an annual term.

When should you stay with Kolleno?

Stay when payment matching is your slowest task, when you run NetSuite, SAP or Oracle and need the connector, or when a team already works inside its collections inbox. A flat-fee tool does not replace those. It replaces the follow-up emails, which for many US teams is where the unpaid money sits.

04 Questions people actually ask

Kolleno alternative questions

How much does Kolleno cost?

Business Pay is $650 per user a month or $545 on annual billing. Business Plus is $1,245 monthly or $995 annual per user, with a two-user minimum. Enterprise tiers are custom. Prices were read from kolleno.com/pricing in November 2026.

What is a cheaper alternative to Kolleno?

DebtAgent starts at $49 a month per organization, or $294 for a year of Starter on yearly billing. It drafts escalating collection emails for overdue B2B invoices from a CSV. It has no reconciliation engine and no ERP connectors beyond QuickBooks and Xero.

Does DebtAgent charge per user?

No. Plans are per organization, so adding a colleague costs nothing. Plans differ by active debtors and channels: Starter 50, Plus 250, Pro unlimited, with SMS and voice from Plus using your own Twilio account.

Can DebtAgent replace Kolleno entirely?

Only for overdue invoice follow up. If you use Kolleno for its payment portal, reconciliation or Sage Intacct and NetSuite connectors, keep it. Many teams use a flat-fee reminder tool when they only need late invoices chased.

05 Security and data

You are handing us your customers' names. Here is what happens to them.

Collections data is unusually sensitive, so we treat it that way: TLS in transit, encrypted storage, a full compliance audit log, and debtor records that are never used to train public models. Card details go to our payment processor and never touch us. Account deletion means delete, everywhere. We are also honest about where we are not yet: no SOC 2 report yet, no invented customer logos or testimonials either.
