Paidnice Alternative Compared on Pricing, Competitors and Collections Software for QuickBooks and Xero
Paidnice is a reminder, late fee and payment portal tool that sits on QuickBooks Online and Xero. DebtAgent works the part after reminders stop working: the invoices 30, 60 and 90 days past due, chased with an escalating email sequence in your name for a flat $49 a month.
Flat monthly fee. No contingency. You stay the creditor and keep 100% of every payment.
The best Paidnice alternative depends on which job you bought Paidnice for. If you need automatic late fees, early payment discounts and a payment portal synced to QuickBooks or Xero, Paidnice is hard to beat and you should keep it. If your real problem is the invoices that are already 30 to 90 days past due and ignore polite reminders, DebtAgent runs an escalating friendly, firm and final email sequence on each one for $49 a month, with no monthly invoice cap (paidnice.com/pricing, read September 2026). Paidnice starts at $69 a month for 150 invoices and two users and scales to $799 for 4,000 invoices. DebtAgent is priced by active debtors, not by invoice volume, so a customer with twelve open invoices counts once.
Six differences that decide this purchase
Paidnice and DebtAgent both chase your own invoices in your own name. They were built for different stages of an invoice's life, and they price that work differently.
Before due versus after due
Paidnice is strongest around the due date: reminders before and after it, automatic late fees, discounts for paying early and monthly statements. DebtAgent starts where that stops working, on accounts that are weeks or months overdue and need a message that gets firmer each time.
How the price grows
Paidnice bills by invoices per month: $69 for 150, then Pro at $99 for 300, $179 for 600, $279 for 1,000, $489 for 2,000, $649 for 3,000 and $799 for 4,000. DebtAgent bills by active debtors: 50 on Starter, 250 on Plus, unlimited on Pro, whatever the invoice count.
Live sync versus an export
Paidnice connects live to Xero, QuickBooks Online and Stripe and writes payments back. DebtAgent works from the aging report you already export, so it runs next to any accounting system, including QuickBooks Desktop, and nothing is written back to your books.
Late fees and interest
Paidnice applies flat fees, simple or compound interest automatically when an invoice goes overdue. DebtAgent does not add fees to your invoices. If your terms allow a late charge, the sequence can state it, but the ledger entry stays yours.
Channels
Paidnice sends email from your own domain and SMS at $0.10 a message. DebtAgent sends email sequences only, with every message drafted from the real amount, invoice number and due date, and approved by you before anything goes out.
Tone that escalates
Each DebtAgent sequence moves from friendly to firm to final, timed from how many days the invoice is overdue, and stops the moment you mark it paid. It reads like a controller who has run out of patience, not a billing robot.
How to decide between Paidnice and DebtAgent in one week
You do not need a sales call for either tool. Run the test on your own aging report.
-
Step 1
Day 1. split the aging report
Export accounts receivable aging from QuickBooks or Xero. Write down two numbers: dollars 1 to 30 days past due, and dollars more than 30 days past due. The first is a reminder problem. The second is a collections problem.
-
Step 2
Day 2. count invoices and debtors
Paidnice is priced on invoices a month and DebtAgent on active debtors. A wholesaler that raises 800 invoices a month to 60 customers lands on Paidnice Pro at $279 and on DebtAgent Plus at $149.
-
Step 3
Run the ten oldest invoices on days 3 and 4
Take the ten oldest past due invoices and generate a full sequence for each in DebtAgent. Read every message as if you were the customer. If the wording is something you would send yourself, the tool does its job.
-
Step 4
Day 5. price the first year
Add SMS volume, extra entities and users to the Paidnice quote, and compare the yearly total with the dollars you expect to recover from the over-30 bucket. Pick the tool that pays for itself on the bucket that actually hurts.

What does Paidnice do?
Paidnice is accounts receivable automation for businesses that invoice from Xero or QuickBooks Online. It reads your open invoices and then does five things on a schedule: sends email and SMS reminders from your own domain, applies late fees or interest when an invoice goes overdue, offers early payment discounts, sends monthly statements, and gives customers a self-service portal where they can pay or set up a payment plan. It also reminds prospects about expiring quotes. Paidnice was named 2025 Xero App of the Year and a Xero Global App Awards 2026 winner, and it earns that reputation: for a Xero shop that wants invoices paid on time, it is one of the strongest tools available.
What it is not built around is the account that has already gone quiet. A reminder schedule repeats the same polite nudge. Once a customer is 60 days late and has ignored three of those, the next message needs to say something different.
How much does Paidnice cost?
Paidnice publishes its prices, in US dollars for the US region. As read on paidnice.com/pricing in September 2026:
- Essentials, $69 a month: 150 invoices and 600 emails a month, up to 2 team members. Reminders, statements, late fees, discounts, quote reminders, portal and payment plans.
- Pro, from $99 a month: $99 for 300 invoices, $179 for 600, $279 for 1,000, $489 for 2,000, $649 for 3,000 and $799 for 4,000. Unlimited users, custom domain, sender profiles, webhooks, multiple entities and priority support.
- Custom, from $999 a month: above 4,000 invoices, with NetSuite, Dynamics and Sage connectors, API access and an account manager.
- Add-ons: $29 a month per extra entity, $0.10 per SMS.
The free trial covers your first 20 actions and you can cancel any time. Here is what those prices mean over a year, next to DebtAgent's published plans.
| Business shape | Paidnice, first year | DebtAgent, first year |
|---|---|---|
| 150 invoices a month, 40 customers | $828 (Essentials, $69 x 12) | $588 monthly, or $294 yearly (Starter) |
| 600 invoices a month, 120 customers | $2,148 (Pro, $179 x 12) | $1,788 monthly, or $894 yearly (Plus) |
| 1,000 invoices a month, 200 customers, 500 SMS a month | $3,948 ($279 x 12 + $600 SMS) | $1,788 monthly, or $894 yearly (Plus) |
| 4,000 invoices a month, 2 entities | $9,936 ($799 x 12 + $29 x 12) | $5,988 monthly, or $2,994 yearly (Pro) |
The gap widens with invoice volume because Paidnice counts invoices and DebtAgent counts customers who owe you money. That comparison is only fair if you do not need what Paidnice adds: live sync, late fees, discounts and the portal.
Is Paidnice worth it?
Paidnice is worth it when most of your late money is late by days, not months. Automatic late fees change behavior on their own, early payment discounts pull cash forward, and a portal removes the "I never got the invoice" excuse. For a business on Xero or QuickBooks Online with a steady flow of small invoices, $69 to $179 a month is a fair price for that.
It is a weaker fit when the money that hurts sits in the 60 and 90 day columns of the aging report. Those customers have already seen your reminders. Adding a late fee to an invoice a customer is ignoring grows the balance, not the chance of collecting it. That tail needs a sequence that names the amount, sets a deadline and says what happens next, which is the job DebtAgent is built for.
A quick test: divide the dollars more than 60 days past due by your total receivables. Above 15% and a reminder tool alone is not solving your problem, however good it is.
What is the best alternative to Paidnice?
There are three realistic substitutes, and they replace different parts of Paidnice:
- InvoiceSherpa for the same reminder and portal job at a lower entry price: $49 a month for up to 100 open invoices, $99 for 500 and $199 unlimited, but with a 1% fee on invoices paid through it unless you process payments through its partner. We break that fee down in InvoiceSherpa pricing.
- Chaser for a heavier platform with deeper integrations and an optional managed chasing service, from $259 a month. See the Chaser alternative breakdown.
- DebtAgent for the overdue tail: escalating email sequences on accounts reminders did not move, for $49 to $499 a month with no invoice cap.
Plenty of businesses run a reminder tool and a collections tool side by side: Paidnice keeps current invoices on time, and DebtAgent takes over once an account crosses 30 or 45 days. Our roundup of the best collections software for QuickBooks prices every option for QuickBooks users, and the Xero collections software roundup does the same for Xero.
Who are Paidnice's competitors?
Paidnice competes in three groups. The first is other reminder and portal apps in the Xero and QuickBooks marketplaces, such as InvoiceSherpa and Chaser. The second is broader receivables platforms that publish no price, such as Upflow, Gaviti and Versapay, which suit larger finance teams with a sales-led buying process. The third is the built-in reminders in QuickBooks Online and Xero themselves, which are free with your subscription but limited: QuickBooks Online sends at most three reminders, only on invoices that were emailed from QuickBooks. Our debt collection software pricing table lists 17 of these tools with their published prices.
Does Paidnice or DebtAgent fit your business?
Pick Paidnice if you run Xero or QuickBooks Online, most late invoices are late by a week or two, and you want late fees, discounts, SMS and a payment portal wired into your books.
Pick DebtAgent if the money you are losing sits in accounts 30, 60 or 90 days past due, you want every message written with the real invoice details and approved by you before it sends, or you use an accounting system Paidnice does not connect to. It also fits businesses with few customers and many invoices, because the price follows debtors, not invoice volume.
Pick both if you have a healthy flow of current invoices and a stubborn overdue tail. The combined cost of Paidnice Essentials and DebtAgent Starter is $118 a month. A collection agency working a single $15,000 claim at a 25% contingency would keep $3,750 of it.
What DebtAgent does not do
To keep this comparison honest: DebtAgent does not sync live with QuickBooks or Xero, does not apply late fees or interest to your invoices, has no customer payment portal, does not send SMS and does not offer early payment discounts. It does not make phone calls or take legal action. It drafts and sends an escalating email sequence on each overdue invoice, in your name, and flags accounts that stay silent so you can decide whether to place them with a commercial collection agency or take them to court.
Paidnice alternative questions
How much does Paidnice cost?
Paidnice Essentials costs $69 a month for 150 invoices and 2 users. Pro runs from $99 a month for 300 invoices to $799 for 4,000, with unlimited users. Custom plans start at $999. SMS costs $0.10 per message and each extra entity $29 a month (paidnice.com/pricing, September 2026).
Is there a cheaper alternative to Paidnice?
Yes, depending on the job. InvoiceSherpa starts at $49 a month for 100 open invoices but charges 1% on invoices paid through it. DebtAgent Starter is $49 a month for 50 active debtors with no invoice cap, and yearly billing halves it to $294 a year, but it covers overdue collections, not late fees or a portal.
Who are Paidnice's competitors?
Paidnice's closest competitors are InvoiceSherpa and Chaser in the Xero and QuickBooks app marketplaces, quote-only platforms such as Upflow, Gaviti and Versapay, and the built-in reminders in QuickBooks Online and Xero. DebtAgent competes with Paidnice only on the overdue part of the ledger.
Does Paidnice work with QuickBooks?
Yes. Paidnice connects to QuickBooks Online, Xero and Stripe, plus other payment gateways. It does not list QuickBooks Desktop. DebtAgent works from an exported aging report, so it runs alongside QuickBooks Online, QuickBooks Desktop, Xero or any other system.
Does Paidnice take a percentage of payments?
No. Paidnice charges a flat monthly subscription by invoice volume, plus SMS and extra entities. It takes no share of what you collect. DebtAgent also takes no percentage: you keep 100% of every payment on every plan.
Can I use Paidnice and DebtAgent together?
Yes. A common setup is Paidnice for reminders, late fees and the portal on current invoices, and DebtAgent for accounts past 30 or 45 days that need an escalating sequence. Together they cost $118 a month at the entry tiers.
What happens if a customer still does not pay?
DebtAgent flags accounts that stay silent after the final message. From there you decide: place the account with a collection agency, send a formal demand letter, or file in small claims court. DebtAgent itself does not take legal action.
You are handing us your customers' names. Here is what happens to them.
Collections data is unusually sensitive, so we treat it that way: TLS in transit, encrypted storage, a full compliance audit log, and debtor records that are never used to train public models. Card details go to our payment processor and never touch us. Account deletion means delete, everywhere. We are also honest about where we are not yet: no SOC 2 report yet, no SSO yet, no invented customer logos or testimonials either.
