InvoiceSherpa pricing with plans, the 1% transaction fee and the real yearly cost
InvoiceSherpa charges $49 to $199 a month plus 1% of paid invoices. Here is what that costs over a year, when the fee is waived, and the published prices of the alternatives.
Draft a compliant collection sequence for a real overdue amount. No card, no signup to preview.
InvoiceSherpa pricing starts at $49 a month for up to 100 open invoices, $99 for 101 to 500 and $199 for unlimited, or $41, $83 and $166 a month billed annually. On top of the subscription, its pricing page lists a 1% transaction fee on paid invoices, waived only when payments run through its partner processor Propelr (invoicesherpa.com/pricing, read September 2026). For a business collecting $60,000 a month through InvoiceSherpa on the $99 plan, that fee is $7,200 a year, six times the subscription itself.
That makes the fee, not the plan, the number to budget. InvoiceSherpa is a capable reminder and payment tool for small US businesses on QuickBooks Online, Xero or Clio, and every plan includes unlimited users, reminders, SMS and a branded portal. The question is how much of your cash flows through it, and whether you would rather pay by volume or pay a flat fee.
How much does InvoiceSherpa cost?
InvoiceSherpa sells three plans that differ only by the number of open invoices. Every feature is on every plan.
| Plan | Monthly billing | Annual billing, per month | Open invoices |
|---|---|---|---|
| Sole Proprietor | $49 | $41 | Up to 100 |
| Small Business | $99 | $83 | 101 to 500 |
| Enterprise | $199 | $166 | Unlimited |
All plans include unlimited payment reminders, SMS reminders, a branded customer portal, several payment methods, autopay, late fees and customer groups, unlimited automated workflows, unlimited users and customers, multi-currency support and North American support. Integrations listed on the pricing page are QuickBooks Online, Xero and Clio. There is a 14-day trial with no credit card required.
Note that the limit counts open invoices, not invoices sent. A business that invoices 300 times a month but gets paid within a week may sit comfortably inside the Sole Proprietor plan, while one that sends 80 invoices a month on net 60 terms can outgrow it.
How much does the 1% transaction fee add?
The pricing page states a 1% transaction fee on paid invoices, and a waiver when payments are processed through Propelr after opening an account from InvoiceSherpa's integrations page. That 1% sits on top of whatever your card or ACH processor already charges; Stripe's standard US card rate, for example, is 2.9% plus 30 cents per charge. The page does not spell out whether invoices paid by check or wire outside the portal attract the fee, so ask for that in writing before you sign up.
Here is the first-year cost, subscription plus the 1% fee, for three common shapes of business, assuming the fee applies to everything collected through the tool.
| Business | Monthly billing, first year | Annual billing, first year |
|---|---|---|
| Sole Proprietor, $15,000 a month collected | $2,388 ($588 + $1,800 fee) | $2,292 ($492 + $1,800 fee) |
| Small Business, $60,000 a month collected | $8,388 ($1,188 + $7,200 fee) | $8,196 ($996 + $7,200 fee) |
| Enterprise, $200,000 a month collected | $26,388 ($2,388 + $24,000 fee) | $25,992 ($1,992 + $24,000 fee) |
Two things follow from the table. The annual discount saves at most $396 a year, which is small next to the fee. And moving your payment processing to Propelr is the single decision that changes your InvoiceSherpa bill the most, so compare Propelr's own processing rates with your current processor before you decide. If the fee is waived, InvoiceSherpa becomes one of the cheapest full-featured reminder tools on the market.
Is InvoiceSherpa worth it?
InvoiceSherpa is worth it for a small business that wants its customers to pay online, on time, from a branded link, and that is happy to switch its processing to Propelr. At $41 to $83 a month with no fee, unlimited users and SMS included, it is very good value, and the Clio integration makes it one of the few options for law firms that want reminders tied to a pay link.
It is a weaker buy in two cases. The first is a business that collects large sums by ACH or check and wants to keep its current processor, where 1% of receipts will dwarf the plan price. The second is a business whose real problem is not on-time payment but the accounts already 60 or 90 days past due. Those customers have ignored reminders and pay links already, and a pay link with a fee attached does not change that.
A quick check: take your average monthly collections, multiply by 12 and by 1%, then add the plan price. If that total is more than a flat-fee collections tool plus your current processor costs, the fee is the deciding factor.

InvoiceSherpa vs Paidnice
Both sit on QuickBooks Online and Xero and both send email and SMS reminders with a payment portal. The pricing logic is opposite. InvoiceSherpa charges a low flat plan by open invoices plus 1% of paid invoices, and includes SMS. Paidnice charges by invoices per month, from $69 for 150 to $799 for 4,000, takes no share of payments, and bills SMS at $0.10 each. Paidnice also applies late fees, simple or compound interest, and early payment discounts automatically. If you collect a lot of money through a small number of invoices, Paidnice is usually cheaper. If you raise many small invoices and will use Propelr, InvoiceSherpa usually wins. We compare Paidnice in detail on our Paidnice alternative page.
InvoiceSherpa vs DebtAgent
They do different jobs, and plenty of businesses would use both. InvoiceSherpa gets current invoices paid through a portal. DebtAgent chases the overdue tail: it drafts an escalating friendly, firm and final email sequence for each past due invoice with the real amount, invoice number and due date, you approve the wording once, and it sends on schedule until the invoice is paid. It takes no percentage, and the Starter plan at $49 a month covers 50 active debtors however many invoices they hold.
What DebtAgent does not have: a payment portal, SMS, autopay or live sync with QuickBooks and Xero. It works from the aging report your accounting system exports, which also means it runs next to QuickBooks Desktop. Payments your customers make by check or wire still have to be matched in your books either way; if your bank only gives you PDF statements, you can convert the PDF bank statement to a QBO file and import it into QuickBooks.
How to choose in one week
- Work out the fee. Multiply twelve months of collections by 1%. That number, not the plan price, is what InvoiceSherpa costs unless you move to Propelr.
- Split the aging report. Dollars 1 to 30 days late are a reminder problem, which InvoiceSherpa and Paidnice solve. Dollars past 30 days are a collections problem.
- Run your ten oldest invoices through a collections tool. If an escalating sequence moves most of them, you know where the money was stuck.
- Price the first year in full. Plan, transaction fees, SMS and processor costs, against the dollars you expect to recover.
If you use QuickBooks, our guide to QuickBooks accounts receivable automation shows where the built-in reminders stop and what to add after them. Or go straight to DebtAgent pricing and run one real overdue invoice through the agent.
