The short answer

Debtor management software keeps one list of every customer who owes you money, tracks how late each invoice is, and follows up on a schedule so nobody has to remember who to chase. For a US business collecting its own B2B invoices, the useful version imports overdue invoices from QuickBooks Online or Xero, sends a friendly, firm and final email sequence per debtor, stops the moment a customer pays or disputes, and shows recovery by aging bucket. DebtAgent does that from $49 a month flat for up to 50 active debtors, $149 for 250 and $499 unlimited. It does not phone debtors, sue or report to credit bureaus, so files that go silent still belong with an agency.

01 What debtor management software should do

Six jobs a debtor management system has to handle without you

Most small finance teams already know who owes them money. The problem is that chasing is the task that waits. These are the jobs worth paying software to take over.

01

One debtor list from your books

Connect QuickBooks Online or Xero, or paste a list and upload a CSV. Every overdue invoice lands under the customer who owes it, with the amount, due date and days past due, so you work debtors instead of scattered invoices.

02

A threshold that starts the chase

Set how many days past due an invoice must be before follow up begins, per connected ledger. Anything that crosses the line gets a sequence drafted; nothing earlier gets bothered.

03

Friendly, firm and final tone

Each debtor gets a written sequence that escalates in tone, drafted in your company's name and approved by you before anything goes out. You can edit every message and change the cadence.

04

Promise to pay and disputes

Each debtor gets a private payment page. A customer can commit to a payment date or raise a dispute there. A promise pauses the chase until that date; a dispute stops it until someone on your team reviews it.

05

Recovery by aging bucket

The analytics view splits open and paid invoices into 0 to 30, 31 to 60, 61 to 90 and over 90 days, with the recovered amount and recovery rate in each bucket. That is the report your controller actually asks for.

06

A log you can show anyone

Every message, promise, dispute and status change is timestamped in a compliance log. If a file later goes to an agency or attorney, the full contact history is ready to hand over.

02 How it works

How debtor management works in DebtAgent

Set it up once with your aging report open. Most teams have their first sequences approved within an hour.

  1. Step 1

    Bring in your debtors

Connect QuickBooks Online or Xero, or import a CSV or pasted list. Each customer becomes a debtor record with its open invoices, state and time zone.

  2. Step 2

    Set the rules

Choose the days past due that trigger a sequence, the starting tone and whether sequences start automatically or wait for approval. Add team members as admin, agent or viewer.

  3. Step 3

    Approve and send

Review the drafted friendly, firm and final emails for each debtor, edit anything, and approve. Messages go out on schedule inside contact windows.

  4. Step 4

    Watch what moves

Mark invoices paid in one click, see promises and disputes as they arrive, and read recovery by aging bucket. Files that stay silent after the final notice are ready to place with an agency.

What is debtor management software?

Debtor management software is a tool that tracks the customers who owe your business money and automates the follow up on their overdue invoices. It pulls open invoices from your accounting system, groups them by customer, starts reminders at a set number of days past due and records every payment, promise and dispute in one place.

In the US the same job is usually called collections software or accounts receivable follow up. The word debtor is common in UK and Australian accounting, where the sales ledger is literally the debtors ledger, which is why many search results for this term come from British and Australian vendors. For a US business the need is identical. You have customers on net 30 or net 60 terms, some of them pay late, and somebody has to chase them without damaging the relationship. If you are comparing the wider category, our debt collection software compared on published prices page covers 11 tools, including those sold to agencies.

How do you manage debtors effectively?

You manage debtors effectively by chasing early, on a fixed schedule, with each message a little firmer than the last, and by stopping instantly when a customer pays or disputes. Timing matters more than wording. B2B invoices collected before 90 days past due typically recover around 70% or more; past 180 days the figure often drops below 15%.

In practice that means four habits. Start the first reminder within days of the due date, not weeks. Escalate the person as well as the tone, from the accounts payable inbox to the person who approved the purchase. Ask for a specific payment date rather than a vague promise, and hold the customer to it. And decide in advance the day a silent file leaves your hands, usually 90 to 120 days, so it does not rot on the aging report. Debtor management software makes those habits automatic, which is the whole point: the chasing happens even in the weeks when everyone is busy closing the month.

How much does debtor management software cost?

Debtor management software for a small or midsize US business costs from about $49 to $1,200 a month, depending on how the vendor charges. Flat fee tools like DebtAgent charge per organization ($49 to $499 a month). Others charge by invoice volume (Paidnice from $69), by open invoices plus 1% of payments (InvoiceSherpa), by revenue band (Chaser from $259), or by quote only (Upflow and most enterprise suites).

The pricing model matters more than the headline number. A per user price multiplies every time someone in finance needs a login. A percentage of collected payments grows exactly when the tool is working. A flat fee per organization stays the same whether one person or five use it. Worked on a year, DebtAgent Starter paid yearly is $294; Chaser Compact paid yearly is about $2,800. Our debt collection software pricing table puts 17 tools side by side if you want the full spread.

Can you manage debtors in QuickBooks or Xero?

Yes, both QuickBooks Online and Xero can send basic payment reminders, but neither manages debtors the way dedicated software does. QuickBooks sends at most three reminder emails, only on invoices originally emailed from QuickBooks, within 90 days either side of the due date, and QuickBooks Desktop has no reminder scheduler at all. Xero sends up to five scheduled reminder emails per invoice but has no promise to pay or dispute workflow, and nothing fires after the fifth.

The gap shows up once you have more than a handful of late customers. Native reminders work invoice by invoice, send the same template to everyone and keep going even after a customer has promised to pay on Friday. Debtor management software works customer by customer, escalates tone, pauses on a promise and stops on a dispute. DebtAgent connects to both ledgers directly; the QuickBooks accounts receivable automation and Xero accounts receivable automation pages show the setup for each.

Debtor management software or a collection agency?

Use debtor management software for customers who are late but still reachable, and a collection agency for the ones who have gone silent. The software is a flat monthly cost and keeps the relationship in your name. An agency typically keeps 20% to 35% of what it recovers on business invoices, up to 50% on small or old ones, and many decline claims under $2,500.

Most teams end up using both, in order. The software works every overdue invoice from day one, and the handful of files that ignore the final notice go to an agency with a clean contact log attached. That order matters for cost. On a $5,000 invoice, an agency fee at 25% is $1,250; if the software collects it at day 40, the cost is a share of a $49 month. Our invoice collection agency page works out published agency fees on $1,500, $5,000 and $15,000 invoices, so you know what the last step costs.

What DebtAgent does not do

DebtAgent sends email sequences in your company's name, runs a debtor payment page for promises and disputes, and reports recovery. It does not phone debtors, file lawsuits, obtain judgments, skip trace customers who have disappeared or report to credit bureaus. It is not a collection agency and never takes a percentage of what you recover.

If a debtor has stopped answering entirely, a sequence will not change that, and you should place the file with an agency or a commercial collections attorney. Being plain about this is also why the compliance log exists: when you do hand a file over, the agency sees every contact attempt and date, which usually shortens their work and sometimes their fee.

04 Questions people actually ask

Debtor management software questions

What is debtor management software?

Debtor management software tracks every customer who owes your business money and automates follow up on their overdue invoices. It imports open invoices from your accounting system, groups them by customer, sends reminders on a schedule, and records payments, promises and disputes in one place.

What is the best debtor management software for a small business?

For a US small business collecting its own B2B invoices, the best fit is usually software that connects to QuickBooks or Xero, charges a flat fee rather than per user or per payment, and escalates tone per customer. DebtAgent costs $49 a month for up to 50 active debtors. Paidnice and InvoiceSherpa are priced by invoice volume.

Is debtor management the same as debt collection?

Not quite. Debtor management is the day to day follow up a business does on its own customers, in its own name, while the relationship still matters. Debt collection often means a third party agency taking over a file for a percentage. Most businesses do the first and use the second only for silent accounts.

Does debtor management software work with QuickBooks Desktop?

DebtAgent connects directly to QuickBooks Online and Xero. QuickBooks Desktop users can export open invoices to CSV and import them. That is worth doing, because QuickBooks Desktop has no built in reminder scheduler of its own.

How much does debtor management software cost per month?

Expect about $49 to $1,200 a month for small and midsize US businesses. DebtAgent is $49, $149 or $499 flat per organization. Paidnice starts at $69, InvoiceSherpa at $49 plus 1% of payments collected through it, and Chaser at $259. Upflow and enterprise suites quote only.

Can debtor management software stop chasing a customer who has paid?

Yes. In DebtAgent a sequence stops the moment an invoice is marked paid, and pauses when a customer commits to a payment date or raises a dispute on their payment page. That is the main difference from native accounting reminders, which keep sending on schedule.

05 Security and data

You are handing us your customers' names. Here is what happens to them.

Collections data is unusually sensitive, so we treat it that way: TLS in transit, encrypted storage, a full compliance audit log, and debtor records that are never used to train public models. Card details go to our payment processor and never touch us. Account deletion means delete, everywhere. We are also honest about where we are not yet: no SOC 2 report yet, no SSO yet, no invented customer logos or testimonials either.
