Invoice Collection Agency and Invoice Debt Collection Service Costs

An invoice collection agency keeps 20% to 50% of what it recovers, and most turn down invoices under $2,500. Before you place one, see what it costs on your invoice, and chase the ones that are only late for a flat fee.

The short answer

An invoice collection agency is a third party that chases an unpaid business invoice for you, usually for 20% to 35% of what it recovers and up to 50% on small or old invoices. On a $5,000 invoice that is $1,150 to $1,825 at the published rates of Kaplan Group, STA International, Creditors Adjustment Bureau and IC System, and several of them will not take an invoice under $2,500. Use an agency when the customer has stopped responding. For invoices under about 120 days late where the customer still replies, an invoice collection service that sends a firm email sequence in your own name for $49 a month recovers the money without the cut.

01 What decides the price of invoice collection

Six terms that set what an invoice collection agency really costs

Two agencies quoting the same percentage can cost very different amounts on the same invoice. These are the lines of the placement agreement that make the difference, so get each one in writing.

01

Invoice size tiers

Most commercial agencies charge more on small invoices because the work per file barely changes with the amount. Kaplan charges 25% on claims of $3,000 to $9,999 and 20% from $10,000. Creditors Adjustment Bureau takes 50% of the first $500 and 20% after that.

02

Minimum invoice amount

STA International takes commercial claims of $2,500 and up, and Kaplan expects new clients to average above $5,000. If your overdue invoices are $800 to $2,000, many agencies will simply decline them, however long they are late.

03

Age at placement

An invoice placed at 60 days collects far more often than one placed at a year. Creditors Adjustment Bureau moves anything over a year old to 50%, and most agencies price aged files the same way even when the card does not say so.

04

Direct payment commission

Most placement agreements still pay the agency its percentage when your customer pays you directly after placement. That clause surprises more small businesses than the headline rate does.

05

Withdrawal terms

If you pull an invoice back because the customer is worth keeping, many agreements charge the full commission or a fee on the balance. Ask what it costs to withdraw a file before you send one.

06

Suit and cost advances

When an agency forwards an invoice to an attorney the rate usually climbs to 30% to 50%, and you may be asked to advance court costs. Kaplan quotes initial cost advances from $1,300 on litigated files.

02 How it works

How to decide which unpaid invoices go to an agency

Do this with your aging report open. Most businesses find that only a handful of files truly need a collector.

  1. Step 1

Split by days past due and contact

List every invoice over 30 days. Anything under about 120 days where the customer still answers email is a chasing problem, not a collections problem.

  2. Step 2

Load the chasing pile into DebtAgent

Connect QuickBooks Online or Xero, or import a CSV of customers, invoice numbers, amounts and due dates. The agent drafts a friendly, firm and final email sequence in your company's name and you approve it once.

  3. Step 3

Let the sequence run to a payment or a date

Messages go out on schedule until the customer pays or commits to a date. Payments land in your own account, so there is no commission to calculate and nothing to reconcile with a third party.

  4. Step 4

Place only the invoices that go silent

Invoices that ignore the final notice go to an agency with a clean file: the contract, the invoice, proof of delivery and the full reminder log. A documented file gets a better rate and a faster start.

03 Published fees, worked per invoice

What an invoice collection agency charges on a $1,500, $5,000 and $15,000 invoice

Each figure uses the provider's own published rate, read at source in September 2026, and assumes the full invoice is collected. Where a provider does not publish a rate or will not take the invoice, the table says so.

Provider Published rate On $1,500 On $5,000 On $15,000
DebtAgent (software, not an agency) $49 a month flat, Starter $49 to $147 $49 to $147 $49 to $147
AgentCollect (software) 1% of the overdue balance routed to it, no success fee $15 $50 $150
Creditors Adjustment Bureau 50% of the first $500, 20% of the balance $450 $1,150 $3,150
Kaplan Group 25% on $3,000 to $9,999, 20% on $10,000 to $49,999 Below its new client average $1,250 $3,000
STA International 25% on the first $5,000, 20% on the balance Below its $2,500 minimum $1,250 $3,250
IC System InstiCollect 35% plus a one time $75 setup fee $600 $1,825 $5,325
Coast To Coast Financial Solutions Flat, under $10 per account on average Under $10 Under $10 Under $10

Contingency fees apply only to money collected; flat fees are paid whether or not anything is recovered. No figure includes suit, court costs, or the commission most agencies charge when a customer pays you directly after placement.

What does an invoice collection agency do?

An invoice collection agency takes over an unpaid business invoice after you have stopped getting answers, and tries to recover it through letters, phone calls, skip tracing and, if you approve, a referral to a collection attorney. It works as a third party under its own name, and your customer knows the account has been placed.

That last part is the real trade. An agency adds pressure because it is not you, which is exactly what a customer who has gone silent needs. It also tells a customer who was only slow that you have given up on the relationship. That is why the timing of placement matters more than the choice of agency. A business that places every invoice at 90 days pays a percentage on money that a firm, well timed reminder would have collected anyway.

How much does an invoice collection agency charge?

Most US invoice collection agencies charge 20% to 35% of what they recover on business invoices, and 40% to 50% on invoices under about $1,000 or more than a year old. Flat fee services charge a fixed amount per account, often $10 to $25, paid when you place the file whether or not it collects.

Worked on a single $5,000 invoice, the published cards land between $1,150 and $1,825. On a $15,000 invoice they range from $3,000 to $5,325. The spread is not about quality, it is about how each agency tiers by size and age. Our full collection agency fees and rates breakdown lists every published card, and the contingency collection agency page explains how no collection, no fee pricing works in practice.

When should you send an unpaid invoice to a collection agency?

Send an unpaid invoice to a collection agency when the customer has stopped responding after a written final notice, usually somewhere between 90 and 120 days past due. Before that point, a documented sequence of reminders collects most B2B invoices at no percentage.

Timing drives recovery. Business invoices under 90 days past due are recovered roughly 70% of the time or more, and past 180 days the rate often falls below 15%. So the goal is not to wait longer before calling an agency. It is to make the first 90 days count: a friendly reminder before the due date, a firm one at 7 to 14 days late, a statement at 30, and a final notice that names the date you will place the account. Customers who still ignore that last message are the ones worth paying a collector for.

Will a collection agency hurt the relationship with my client?

Yes, placing an invoice with an agency usually ends the working relationship, because your client is now hearing from a third party collector instead of you. For a customer you want to keep, chase in your own name first and escalate only when they stop answering.

That is the practical case for software ahead of an agency. DebtAgent sends every message from your company, in your tone, and stops the moment the customer pays or replies with a date. The customer who was waiting on a purchase order or an approver pays and stays. The one who has disappeared gets a final notice that says clearly what happens next, and you place that file knowing you tried properly.

What do you need to send an invoice to a collection agency?

An agency needs proof the debt is owed and a trail showing you asked for it. Have ready the signed contract, quote or purchase order; the invoice with its number, date, terms and amount; proof of delivery or completed work; the customer's contact details; and a dated log of every reminder you sent.

A clean file matters twice. It lets the agency start the same day instead of chasing you for paperwork, and it is what an attorney will ask for if the invoice goes to suit. DebtAgent keeps the full message history for every invoice it chases, so the reminder log is already assembled when you decide to place. If a customer disputes the work rather than the timing, settle the dispute first, since agencies generally will not chase an invoice the customer says they do not owe.

Invoice collection agency vs invoice collection software, which recovers more?

On invoices under about 120 days late where the customer still replies, invoice collection software usually nets you more, because it recovers the same payment without a 20% to 50% cut. On silent, aged or disputed invoices an agency recovers more, because it can phone, skip trace and escalate to an attorney.

Here is the arithmetic on a common case. Ten overdue invoices of $3,000 each, all around 60 days late. Sent straight to an agency at 25%, the fee on full recovery is $7,500. Chased first by a $49 a month sequence, most of them pay within a billing cycle or two, and the two or three that go silent are placed at the same 25%, costing $1,500 to $2,250. DebtAgent does not phone, sue, skip trace or report to credit bureaus, and it says so plainly. It is the step before an agency, not a replacement for one. 04 Questions people actually ask

Invoice collection agency questions

What is an invoice collection agency?

An invoice collection agency is a third party collector that recovers unpaid business invoices for a percentage of what it collects, usually 20% to 35% and up to 50% on small or old invoices. It contacts your customer under its own name, by letter and phone, and can refer the file to an attorney.

What percentage does an invoice collection agency take?

Published US commercial rates run from about 20% to 35%, and up to 50% on invoices under about $1,000 or over a year old. Kaplan charges 25% on claims of $3,000 to $9,999, STA International 25% on the first $5,000, and IC System 35% plus a $75 setup fee.

Will a collection agency take a small invoice?

Many will not. STA International sets a $2,500 minimum for commercial claims and Kaplan expects new clients to average above $5,000. Creditors Adjustment Bureau, Summit A•R and per account flat fee services accept smaller files, usually at a higher percentage or for a fee paid up front.

Is there an invoice collection service that does not take a percentage?

Yes. Collections software charges a flat subscription instead of a cut. DebtAgent sends a firm email sequence in your own company's name from $49 a month for up to 50 active debtors, and customers pay you directly, so you keep 100% of every payment it recovers.

How long should I wait before sending an invoice to collections?

Most businesses place an invoice between 90 and 120 days past due, after a written final notice has gone unanswered. Waiting much longer lowers recovery sharply, since invoices past 180 days are often recovered less than 15% of the time.

Does sending an invoice to a collection agency affect my customer's credit?

It can. Some agencies report commercial accounts to business credit bureaus, and a placed account usually ends the relationship. DebtAgent does not report to credit bureaus; it chases in your name so a customer who is only slow can pay without being treated as a collections case.

05 Security and data

You are handing us your customers' names. Here is what happens to them.

Collections data is unusually sensitive, so we treat it that way: TLS in transit, encrypted storage, a full compliance audit log, and debtor records that are never used to train public models. Card details go to our payment processor and never touch us. Account deletion means delete, everywhere. We are also honest about where we are not yet: no SOC 2 report yet, no SSO yet, no invented customer logos or testimonials either.
