Outsource Collections With an Outsource Collection Agency or Outsourced Debt Collection Software

You can hand overdue invoices to an agency for 20% to 50% of what comes back, pay a letter service about $10 to $24 an account, hire an AR outsourcing firm from $500 a month, or let software run the whole chase in your name for $49. Here is what each one costs and where each one stops.

Flat monthly fee from $49. You stay the creditor and keep 100% of every payment.

The short answer

To outsource collections, a US business has four real options: a contingency collection agency (20% to 50% of what it recovers), a flat fee letter program ($10 to $24 per account), an AR outsourcing firm (about $500 to $7,000 a month), or collections software that sends the follow up in your own name for a flat fee. On 20 overdue $2,500 invoices where 12 end up paid, that is $7,500 to $7,800 to an agency, about $440 to $480 for a letter program, $1,500 or more for three months of an outsourcing firm, and $147 for three months of DebtAgent Starter. Agencies earn their cut on customers who have gone silent. Everything younger than about 90 days is cheaper to chase yourself, and that part is what you can now hand to software.

01 What you are really outsourcing

Six jobs hiding inside the word collections, and who does each one best

Most businesses that want to outsource collections are trying to get rid of one or two of these jobs, not all six. Work out which ones, and the right provider usually picks itself.

01

Remembering to follow up

The most common reason an invoice ages past 60 days is that nobody sent the third reminder. That is a scheduling job, not a collections skill, and it is the job software does better than any person or agency. DebtAgent sends every step on the day you set, for every overdue invoice, and stops when you mark it paid.

02

Writing firm messages that stay legal

Escalating from friendly to final without threatening action you will not take is where in-house chasing usually goes wrong. DebtAgent drafts the full sequence in your name against FDCPA norms, with the contact window, frequency and disclosure checks built in, and keeps a timestamped log of every touch.

03

Phone work

Live calls are the one thing a human agency or an outsourced AR team does that email sequences do not. If your customers only respond to a ringing phone, that is a real reason to outsource. Coast To Coast Financial Solutions, for example, includes live collector calls in its under $10 per account average.

04

Third party pressure

A letter on another company's letterhead changes how a debtor reads the situation. That pressure is what a flat fee letter program sells. Rocket Receivables sends four letters, one in your name and three as a third party, for $14.95 to $21.95 an account depending on volume.

05

Skip tracing and credit reporting

When a customer has moved, closed or stopped answering, you need someone who can find them and, for sole proprietors and consumers, report the debt to the credit bureaus. That is agency work. Software cannot find a debtor who has disappeared and DebtAgent does not pretend to.

06

Legal action

Suit, judgment and enforcement need a licensed attorney in the debtor's state. Commercial agencies forward files to attorney networks, usually at 30% to 50% plus court costs. If a claim is large and the customer is solvent but refusing, this is the job worth outsourcing, and our commercial collections attorney guide covers how it is priced.

02 How it works

How to decide what to outsource in one afternoon

Run this on your aging report. It usually splits the overdue list into a pile you can automate today and a short pile worth a third party.

  1. Step 1

    Export the aging report

Pull open invoices past due from QuickBooks, Xero, NetSuite or whatever you bill from, as a CSV. Note days past due, amount and whether the customer has replied to anything in the last 30 days.

  2. Step 2

Split by silence, not by size

Customers who still answer email belong in a written sequence, whatever the balance. Customers who have gone silent for 60 days or more, or who dispute the debt, belong with an agency or attorney.

  3. Step 3

Load the first pile into DebtAgent

Upload the CSV or type the invoices in. The agent drafts a friendly, firm and final sequence in your name, you approve the wording once, and it sends on schedule until each invoice is paid or you stop it.

  4. Step 4

    Place only what is left

After 30 to 45 days, whatever is still unpaid and still silent goes to a contingency agency or a letter program, with a clean log of every message already sent. Agencies collect more on files that arrive documented.

03 Published prices, one table

What it costs to outsource collections in the US

Each figure was read on the provider's own site in September or October 2026. The worked column uses the same example throughout: 20 overdue invoices of $2,500, of which 12 end up paid in full ($30,000 recovered). Where a provider publishes no rate, the table says so.

Option Published price Worked on 20 invoices of $2,500 Best for
DebtAgent $49, $149 or $499 a month, flat; yearly billing charges 6 months $147 for three months of Starter; you keep the full $30,000 Customers who still read email, invoices under about 120 days
Rocket Receivables (Stage One) $21.95 per account at 10, $17.95 at 25, $14.95 at 50 or more, prepaid; Stage Two splits 50/50 $439 up front, owed whether or not anyone pays Recent, undisputed balances under 120 days placed in volume
American Profit Recovery Program costing no more than $24.00 per account Up to $480 Batches of small B2B balances that need third party letters
Coast To Coast Financial Solutions Less than $10 per account on average, flat, with live calls Under about $200 Debtors who are individuals or sole proprietors
STA International 25% of the first $5,000, 20% above; $2,500 minimum claim; 30% to 33% international $7,500 Silent B2B debtors with claims of $2,500 and up
Creditors Adjustment Bureau 50% of the first $500, 20% of the balance; 50% if over a year old $7,800 Older or smaller files other agencies decline
Kaplan Group 25% on $3,000 to $9,999, 20% to $49,999, lower above; new clients average claim over $5,000 Not eligible at $2,500 for a new client Larger commercial claims, including suit
AR outsourcing firm About $500 a month minimum to over $7,000 a month $1,500 or more for three months Companies that want the whole AR function run outside

Contingency rows assume the agency's standard placement terms. Most agreements still owe the agency its percentage if the customer pays you directly after placement, so read the direct payment clause before you sign.

How much does it cost to outsource collections?

Outsourcing collections costs 20% to 50% of what is recovered with a contingency agency, roughly $10 to $24 per account with a flat fee letter program, and about $500 to over $7,000 a month with an AR outsourcing firm. Software that runs the follow up for you costs a flat monthly fee, $49 to $499 with DebtAgent.

Bar chart comparing the cost to outsource collections on 20 overdue invoices of $2,500 with Creditors Adjustment Bureau, STA International, an AR outsourcing firm, American Profit Recovery, Rocket Receivables and DebtAgent
On the same 20 invoices, the agency fee is about fifty times the software fee. The agency also does work the software does not.

The headline number is rarely the full cost. Contingency agreements usually include a direct payment clause, so a customer who pays you the week after placement still earns the agency its cut. Flat fee programs charge for every account placed, including the ones that were already paid and never matched, which is why it pays to reconcile before you place. AR outsourcing firms quote setup and minimum terms that often run 12 months. We break the agency side down further in our guide to how much collection agencies charge.

Is it worth outsourcing collections?

Outsourcing collections is worth it for customers who have stopped responding, disputed the debt, or need phone work, skip tracing or legal action, because those jobs need a third party. It is rarely worth it for invoices that are simply late, because an agency takes 20% to 50% of money a consistent reminder sequence would have recovered.

The arithmetic is blunt. Invoices under 90 days past due are recovered at roughly 70% or better by whoever keeps asking. Past 180 days the figure often drops below 15%. An agency placed at day 45 is paid a quarter of a payment that was probably coming anyway. Placed at day 150 on a silent customer, the same agency is the cheapest way to get anything at all. The decision is about timing, and a contingency collection agency earns its percentage at the back end of the aging report, not the front.

Should you outsource first party or third party collections?

Outsource first party collections when you want the follow up done in your own company's name and the customer relationship kept intact; outsource third party collections when the relationship is over and you want another company's name on the pressure. Most US businesses need first party help on most invoices and third party help on a few.

First party outsourcing used to mean paying a team to send letters and make calls under your letterhead. CollBox, for example, sells done for you first party collections to law firms at $599 a month for 1 to 50 clients plus a $999 setup fee on a 12 month commitment. Software now covers the written part of that job for a fraction of the cost, which is the gap DebtAgent fills. Our first party collections page compares the two in more detail, and the CollBox alternative page works the law firm numbers.

What are the disadvantages of outsourcing collections?

The main disadvantages of outsourcing collections are cost, loss of control over tone, and damage to customer relationships. A contingency agency keeps 20% to 50% of recoveries, often including payments made to you directly, and a third party letter tells your customer the relationship has changed, which some of them will not forget when they next place an order.

There are quieter costs too. Most placement agreements limit when you can withdraw a file, and some charge a fee for doing it. Flat fee programs often expire unused accounts (Rocket Receivables Stage One accounts expire 12 months after purchase). AR outsourcing firms need access to your ledger and usually a minimum term. None of these are reasons to avoid outsourcing a genuinely stuck file. They are reasons not to outsource the whole aging report by default.

Can you outsource accounts receivable collections without an agency?

Yes. You can outsource the follow up part of accounts receivable collections to software, which sends a scheduled, escalating sequence in your name, tracks promises to pay and stops when an invoice is paid, without a third party ever contacting your customer. You stay the creditor and keep every dollar collected.

That is what DebtAgent does. Upload your overdue invoices as a CSV export or type them in, approve the drafted sequence once, and it runs. Starter covers 50 active debtors for $49 a month, Plus covers 250 for $149, and Pro is unlimited for $499. If you are weighing the full outsourced model instead, our accounts receivable outsourcing page compares what those firms cost against keeping AR in house, and the cheap collection agency comparison ranks every published per account and percentage price by invoice size.

When to outsource to a collection agency instead

We would rather you placed the right files than none. Send an account to a collection agency or attorney when any of these is true: the customer has not responded to anything for 60 days or more, the customer disputes the amount and you have the paperwork to prove it, the business appears to be closing or has moved, or the claim is large enough that suit is realistic. DebtAgent holds no collection agency license, does not skip trace, does not report to credit bureaus and does not file suit.

For flat fee placement, compare the published cards on our flat fee debt collection page. For claims worth suing over, the commercial collections attorney page covers how contingency and hourly legal work is priced. Either way, arrive with the log of every message already sent. It shortens the agency's work and helps if the file ends up in court.

04 Questions people actually ask

Outsource collections questions

What does it mean to outsource collections?

Outsourcing collections means paying someone outside your company to recover overdue invoices. That can be a contingency agency paid a share of recoveries, a flat fee letter service paid per account, an AR outsourcing firm paid monthly, or software that runs the follow up for you in your own name for a flat fee.

How much does it cost to outsource collections?

Contingency agencies charge 20% to 50% of what they recover; STA International publishes 25% of the first $5,000 and 20% above. Flat fee programs run about $10 to $24 per account. AR outsourcing firms start around $500 a month. DebtAgent is a flat $49, $149 or $499 a month.

What is an outsource collection agency?

An outsource collection agency is a third party firm a business hires to collect its overdue accounts, usually on contingency. It contacts the debtor in its own name, may call, skip trace and report to credit bureaus, and keeps an agreed percentage of whatever it recovers. Commercial agencies specialize in business to business debts.

Is outsourced debt collection better than doing it in house?

Outsourced debt collection is better for silent, disputed or very old accounts, where third party pressure, phone work or legal action is needed. In house is better for invoices that are simply late, because the customer still responds and you keep 100% of the payment. Most businesses do best with both, split by how long the customer has been silent.

When should a small business outsource collections?

A small business should outsource an account once the customer has ignored at least three written requests over 60 days or more, disputes the debt, or appears to be closing. Before that point, a consistent reminder sequence recovers most invoices for far less than an agency fee.

Will outsourcing collections hurt customer relationships?

A third party collector usually does change the relationship, because the customer now hears from another company about money. First party outsourcing, where the follow up still comes in your name, avoids that. That is why most businesses keep early stage chasing in their own name and outsource only accounts they are prepared to lose.

Does DebtAgent replace a collection agency?

DebtAgent replaces the follow up work on invoices where the customer still reads email, which is most of an aging report. It does not replace an agency for silent debtors, skip tracing, credit reporting or legal action. It holds no agency license and does not contact debtors as a third party.

Can I outsource collections for international customers?

Yes, but international placements usually cost more. STA International publishes 30% to 33% for international claims and Kaplan charges 30% whenever the debtor is outside the US, because a local partner takes part of the fee. Our international debt collection page covers cross border costs and minimums.

05 Security and data

You are handing us your customers' names. Here is what happens to them.

Collections data is unusually sensitive, so we treat it that way: TLS in transit, encrypted storage, a full compliance audit log, and debtor records that are never used to train public models. Card details go to our payment processor and never touch us. Account deletion means delete, everywhere. We are also honest about where we are not yet: no SOC 2 report yet, no SSO yet, no invented customer logos or testimonials either.
