Bill.com Pricing: Plans, Per User Cost and What BILL AP and AR Really Costs a US Finance Team

BILL publishes three per user prices and two transaction fees. Those five numbers decide almost the whole invoice, and the per user part is the one that surprises people in year two. Here is the arithmetic at 3, 5, 10 and 25 seats, and what the same work costs on a flat fee.

The short answer

Bill.com pricing is per user per month: $49 for Essentials, $65 for Team and $89 for Corporate, with Enterprise quoted on request. Payment fees sit on top of the subscription, at $0.59 per ACH payment and $1.99 per check. BILL Spend & Expense is $0 per user, and the accountant partner plan for BILL AP & AR is $49 per month for the firm. 01 How the bill is built

The six things that decide what you actually pay BILL each month

The published price is only the first line of the invoice. These are the components a US finance team should add up before it signs, because four of the six scale with something other than the plan you picked.

The plan tier

Essentials at $49, Team at $65, Corporate at $89 per user per month. The jump from Essentials to Team buys the automatic two way sync with QuickBooks Online, Pro, Premier and Xero. The jump to Corporate buys custom approval policies, custom user roles, procurement and the wider ERP list.

The seat count, not the invoice count

This is the part that moves. BILL bills the subscription per user, so cost rises with headcount rather than with how many invoices you send. Two new AP approvers cost the same as two new power users.

Approver only users

BILL states that Corporate offers discounts for approver only users. If most of your seats exist purely to click approve, ask sales to price them separately instead of at the full $89, and get the discount in writing on the order form.

ACH and check fees

$0.59 per ACH payment and $1.99 per check, charged per transaction. A company paying 300 vendors a month, 200 by ACH and 100 by check, adds $317 a month in fees to whatever the seats cost.

Which product you are on

BILL Spend & Expense is $0 per user and card funded, with credit lines quoted from $1,000 to $5M. It is a card and expense program. It is not the AP and AR subscription, and buying one does not get you the other.

Enterprise is custom priced and adds SSO, dual control, multi entity, API access and priority support. Custom pricing means the number is negotiable, and it also means your renewal is negotiable. Diary the renewal date the day you sign.

Work out your own BILL number in four steps

Do this on paper before the demo. It takes ten minutes and it changes what you ask for.

  1. Step 1

    Count the seats honestly

    Everyone who needs to log in, including approvers, the controller, the bookkeeper and the outside accountant. Finance teams routinely underestimate this by three to five people because approvers are forgotten.

  2. Step 2

    Pick the tier by integration, not by feature list

    If you run QuickBooks Online or Xero and want a real two way sync, you are on Team or above. If you run NetSuite, Sage Intacct or Dynamics, you are on Corporate or Enterprise. That decision sets the per seat rate.

  3. Step 3

    Multiply, then add the payment volume

    Seats times rate times 12 gives the subscription. Then add $0.59 for every ACH run and $1.99 for every check. Pull last quarter's payment register instead of guessing.

  4. Step 4

    Price the AR half separately

    BILL bundles AP and AR in one per seat subscription. If the job you are actually trying to fix is overdue invoices rather than vendor payments, compare that line against per organization AR pricing before you buy seats for it.

Three figures that circulate widely and should not be trusted: the $299 a month for Invoiced and $200 a month for Gaviti quoted in listicles are not published by either vendor, and the $79 and $149 Simplicity Collect tiers from a 2022 article are dead. Simplicity Collect is now a Finvi product and its published tiers start at $399 a month plus a $699 setup fee. Debtor Daddy no longer sells in the US at all; its domain redirects to an Australian product priced in AUD.

How much does Bill.com cost per month?

BILL charges $49, $65 or $89 per user per month depending on tier, so the monthly cost is your seat count multiplied by that rate. Three users on Essentials is $147 a month. Five users on Corporate is $445 a month. Twenty five users on Corporate is $2,225 a month. Payment fees are separate.

Annualized, a ten seat Corporate team is $10,680 a year in subscription. That is the number to hold in your head when a per organization tool quotes you $499 a month for unlimited users, because the two are not comparable line by line until you fix the seat count.

Is Bill.com priced per user?

Yes. BILL AP & AR is sold per user per month, which means the subscription grows with headcount rather than with transaction volume. BILL Spend & Expense is the exception at $0 per user. Most AR focused competitors, including Chaser, Paidnice and Chargezoom, price per organization instead.

Per seat pricing is not automatically worse. It is cheap when the team is small and only a couple of people ever log in, and it stays predictable if headcount is flat. It becomes expensive in two specific situations. The first is an approval heavy workflow, where you end up buying seats for people who log in twice a month to click approve. The second is growth: hiring two AP clerks and a controller on Corporate adds $267 a month, or $3,204 a year, with no change at all in how many invoices you process.

The practical test is to price your headcount 24 months out, not today. If you expect to add three or more finance seats in that window, ask BILL for approver only pricing in writing and price a flat per organization option beside it.

Does Bill.com charge transaction fees on top of the subscription?

Yes. BILL's pricing page lists $0.59 per ACH payment and $1.99 per check, charged per transaction on top of the per user subscription. Virtual cards and credit cards are supported as payment methods on all AP and AR tiers. International payments and expedited transfers are quoted separately.

The fee line is small per payment and easy to underestimate in aggregate. A company running 200 ACH payments and 100 checks a month pays $118 plus $199, which is $317 a month, or $3,804 a year. On a five seat Essentials plan that fee line is larger than the seats. Pull three months of your payment register, split it by rail, and multiply. It is the single most common surprise on a BILL renewal.

One easy saving: every vendor you move from check to ACH takes $1.40 off the per payment cost. Moving 100 checks a month to ACH saves $140 a month, or $1,680 a year, which is more than a Corporate seat.

How much does Bill.com cost for accountants?

BILL runs a separate accountant partner program. The BILL AP & AR partner plan is $49 per month for the firm at wholesale pricing, with a stated 10% to 20% client subscription discount based on how many clients you onboard. BILL Spend & Expense partner access is $0 for accountants and their clients.

That is a genuinely different economic model from the direct per seat plans, and it is why an accounting firm's quote never matches what its client would pay buying direct. If you are a bookkeeper pricing a client engagement, quote from the partner sheet, not from the public page. If you are the client, ask your accountant whether they are buying on the partner plan and what margin sits inside the number you are being billed.

What is the difference between Bill.com Essentials, Team and Corporate?

Essentials at $49 is manual integration only: you move data in and out of your accounting system by CSV import and export, with six standard user roles and standard approval policies. Team at $65 adds the automatic two way sync with QuickBooks Online, Pro, Premier and Xero, plus custom user roles. Corporate at $89 adds custom approval policies, procurement, discounts for approver only users, and the wider ERP sync list.

In practice the tier is chosen by your accounting system, not by your feature wish list. If you close the books in QuickBooks Online or Xero and do not want to babysit CSV files, Essentials is a false economy and you are on Team. If you run NetSuite, Sage Intacct or Dynamics 365, or you need multi entity, you are on Corporate or Enterprise. Enterprise adds SSO, dual control, API access and priority support at a custom price.

Did Bill.com raise its prices?

BILL publishes current rates only and does not publish a price change history, so the honest answer is that you should check your own invoice rather than trust a figure from an older article. As of August 23, 2026 the published direct rates are $49, $65 and $89 per user per month.

This matters more than it sounds. Most of the pricing pages that rank for this query were written in a different year and quote different numbers, and a per seat product can also get more expensive without any published rate change simply because your headcount grew. If your BILL bill has climbed, compare seat counts first, then the rate, then the payment fee line. Two of those three usually explain it.

Is there a free version of Bill.com?

BILL Spend & Expense is free at $0 per user, with corporate cards, budgets and expense tracking, and credit lines quoted from $1,000 to $5M. There is no free tier of BILL AP & AR, which is the product that handles bill payment and invoicing. Free trials are handled by sales rather than published as a self serve plan.

So if someone tells you BILL is free, they are talking about the card program. The AP and AR subscription starts at $49 per user per month.

What are the cheaper alternatives to Bill.com for accounts receivable?

It depends which half of BILL you are replacing. Nothing on this list is a like for like AP replacement, because BILL's payment rail and approval routing are the product. But if the reason you are looking at cost is the AR side, the overdue invoices rather than the vendor payments, the per organization tools are usually cheaper at five seats and above.

  • DebtAgent, from $49 a month per organization. Flat fee, no percentage of what you recover, aimed at the US business chasing its own overdue invoices in its own name. Pro includes unlimited seats.
  • Chargezoom, free tier then from $95 a month. Payments led, and the tiers are gated on annual processing volume rather than on features alone.

Per seat or per organization: which is actually cheaper for your team?

The crossover is easier to find than most buyers expect. Take BILL Corporate at $89 per user per month against a flat $499 a month for unlimited users. The flat plan is more expensive up to five seats, roughly level at six, and cheaper from seven seats onward. Against BILL Essentials at $49, the crossover sits near eleven seats.

Two caveats keep this honest. First, the two products are not identical, so this is a cost comparison and not a feature comparison; BILL is doing AP work that a collections tool does not do. Second, per seat pricing has a real advantage that flat pricing does not: you can shrink it. If your finance team contracts, a per seat bill falls the next month and a flat subscription does not.

The reason to run the arithmetic at all is that seat growth is the thing nobody forecasts. Invoice volume gets forecast. Payment volume gets forecast. Headcount inside finance almost never does, and on a per seat contract that is the line that compounds.

Collections data is unusually sensitive, so we treat it that way: TLS in transit, encrypted storage, a full compliance audit log, and debtor records that are never used to train public models. Card details go to Stripe and never touch us. Account deletion means delete, everywhere. We are also honest about where we are not yet: no SOC 2 report yet, no SSO yet, no invented customer logos or testimonials either.
