A US company collecting from a UK business pays very different prices depending on who it hires. US agencies that forward the file abroad charge 30% (Kaplan Group) to 33% (STA International), and Atradius Collections' US schedule charges a $55 file fee plus 25.5%. Going direct to a UK agency on a fresh debt costs far less: Hilton-Baird publishes 7.5% to 12.5% on debts under 90 days for debtors in England and Wales, and Debitura lists 9.5% on UK claims between $1,000 and $149,999 (all read October 2026). Before paying any of them, chase the invoice yourself in sterling, and if your contract is governed by UK law, add the statutory interest and fixed compensation the Late Payment Act already gives you.
Below are the published UK and cross border rates side by side, the same £8,000 invoice priced through every route, what the Late Payment of Commercial Debts (Interest) Act 1998 lets a US supplier claim, and when it is worth placing the file at all.
Debt collection agency UK fees for a US creditor
These are the rates the providers publish themselves. Where a provider quotes privately, the table says so. Every agency on it works on a no collection, no fee basis for the amicable stage, and none of the figures include court costs.
| Provider | Published fee on a UK debtor | Catch |
|---|---|---|
| Kaplan Group (US) | 30% whenever the debtor is outside the USA | New clients need an average claim above $5,000 |
| STA International (US) | 30% to 33% on international files | Minimum commercial claim $2,500 |
| Atradius Collections (US schedule) | $55 introduction fee plus 25.5%; extra 2% over 180 days | Keeps statutory interest and costs on export cases |
| Debitura (marketplace) | 20% on $100 to $999, 9.5% on $1,000 to $149,999, 6% from $150,000 | Age surcharges after 12 and 24 months |
| Hilton-Baird (UK) | 7.5% to 12.5% under 90 days, 12.5% to 17.5% at 91 to 180, over 20% after that, plus £50 admin | Rates are for debtors in England and Wales |
| Frontline Collections (UK) | From 8% on larger commercial debts | Quoted per case, no full card |
| Debt Advocate (UK) | Nothing to the creditor; the debtor pays under Late Payment law | Not open to creditors registered outside the UK |
The pattern is plain. The same British customer costs roughly three times as much to collect through a US agency as through a UK one, because the US agency does not collect in the UK itself. It hands the file to a local partner, and that partner is commonly paid 40% to 60% of the gross fee. You are paying two agencies, and the percentage reflects it.
What an £8,000 UK invoice costs through each route
Take one realistic file: a UK distributor owes a US manufacturer £8,000 on an invoice that is 75 days past due, the customer still answers email, and nothing is disputed.
| Route | Fee if it pays in full | You keep |
|---|---|---|
| US agency at 30% | £2,400 | £5,600 |
| US agency at 33% | £2,640 | £5,360 |
| Atradius, Europe tier | £2,040 plus $55 | £5,960 less $55 |
| Debitura at 9.5% | £760 | £7,240 |
| UK agency, fresh debt | £600 to £1,000 plus £50 | £6,950 to £7,350 |
| Your own sequence | Nothing per invoice | £8,000, plus any statutory interest owed |
If the invoice ages past 180 days the numbers move against you everywhere: Atradius adds 2 points, Hilton-Baird's band goes above 20%, and Debitura applies its age surcharge after a year. The cheapest collection is the one that happens while the invoice is still young.
Can a US company charge Late Payment Act interest to a UK customer?
Yes, if the contract is governed by the law of England and Wales, Scotland or Northern Ireland. The Late Payment of Commercial Debts (Interest) Act 1998 then gives you statutory interest at 8% above the Bank of England base rate, plus a fixed sum per invoice, unless your contract sets its own substantial remedy. If your terms say New York or Delaware law governs, the Act generally does not help you, and you rely on whatever late fee clause your own contract contains.
The numbers are fixed and public. The fixed sum is £40 on a debt under £1,000, £70 on £1,000 to £9,999.99, and £100 on £10,000 or more, and the supplier can also claim reasonable recovery costs beyond that (gov.uk). The interest uses the base rate in force on 31 December for the first half of the year and on 30 June for the second. The base rate was 3.75% on both dates in this cycle, so statutory interest on a debt falling due in 2026 runs at 11.75% a year.
On the £8,000 invoice that is £940 a year, about £2.58 a day. At 60 days late, that is £154.52 of interest plus the £70 fixed sum, a total of £224.52 the customer owes on top of the invoice. Put that figure, with the daily rate, in your final reminder. It is often the line that gets an invoice paid, because a finance team can see the number growing.
Two caveats. Parliament has a bill in progress that would make statutory interest mandatory and cap large companies' payment terms at 60 days, but it is not in force yet and the payment cap would not start before 2027. And when you place an export case with Atradius, its FAQ says Atradius keeps the statutory costs and interest it recovers, so that money funds its fee rather than reaching you.
Which UK debt collection agency should a US company use?
Match the agency to the file, not the other way round.
- Fresh, undisputed, under 90 days. Do not place it yet. Run a firm sterling sequence in your own name first. If you do place it, a UK agency billing 7.5% to 12.5% is the efficient choice.
- Silent for 60 days or more, still under six months. A UK agency or a marketplace like Debitura, where the fee is set before you place. Ask in writing whether they accept a creditor registered in the US, because some UK services, including Debt Advocate, do not.
- Several countries at once, or you already work with a US agency. One cross border agency is simpler to manage, and you pay for that convenience with 25.5% to 33%. Our Atradius Collections fees page works its full US schedule on five claim sizes.
- Disputed, large, or the customer may be insolvent. Speak to a UK solicitor. A claim heading to the County Court or into insolvency needs someone who can act there.
Also check time. A debt in England and Wales generally becomes unenforceable six years after it falls due under the Limitation Act 1980, and Scotland uses a shorter five year prescription period. Most commercial files should never get close, but old export invoices sometimes do.
What to do before you place a UK invoice with an agency
Most UK invoices that end up with an agency were never really chased. Someone sent one polite email at 30 days and then the file drifted. A short, clear sequence from you fixes most of them, and it costs nothing per invoice.
- Day 1 past due. A friendly reminder in sterling that restates the amount, the invoice number and the agreed due date.
- Day 10. A firm follow-up asking for a payment date, and whether anything about the invoice is disputed.
- Day 21. A final notice that names the next step, and on UK law contracts states the statutory interest accrued and the fixed sum.
- Day 30. If there is still no reply, place the file, with every reminder dated and attached.
DebtAgent runs exactly that sequence for you. You load the invoice by CSV export or by hand, choose GBP, approve the friendly, firm and final wording once, and the emails go out in your name on schedule until you mark the invoice paid. Starter is $49 a month for 50 active debtors, and you can see every plan on the pricing page. It does not sue, has no collectors in the UK and will not claim interest on your behalf, so a file that stays silent still goes to an agency. It just goes there with the easy invoices already paid. When the sterling payment lands, reconcile the foreign currency deposit against your bank statement so the invoice is closed at the amount actually received after conversion fees.
For the wider picture on every other country, the international debt collection guide explains why cross border contingency runs at about 1.4 times the domestic rate and where agencies stop taking small files, and the international debt collection agencies roundup lists every published cross border rate we could verify. If you are comparing domestic agencies too, the Kaplan Group rate card and STA International rates are worked the same way.
Frequently asked questions
How much do UK debt collection agencies charge?
UK agencies that publish rates charge roughly 7.5% to 12.5% on commercial debts under 90 days old, rising to 12.5% to 17.5% between 91 and 180 days and above 20% after that, usually with a small admin fee of around £50. Marketplaces such as Debitura list 9.5% on UK claims from $1,000 to $149,999. Nothing is charged if nothing is collected.
Can a US company use a UK debt collection agency?
Usually yes, and it is often the cheapest route, because a US agency forwarding the file to a UK partner charges 25.5% to 33%. Check first, though. Some UK services only accept creditors registered in the UK. Debt Advocate, which charges the creditor nothing, says it cannot take a case where the creditor is registered outside the UK.
What interest can I charge a UK customer on a late invoice?
If the contract is governed by UK law, the Late Payment of Commercial Debts (Interest) Act 1998 allows 8% above the Bank of England base rate. With the base rate at 3.75% on the 30 June 2026 reference date, that is 11.75% a year, plus a fixed £40, £70 or £100 per invoice depending on its size.
Is it cheaper to collect a UK debt through a US agency or a UK agency?
A UK agency is usually far cheaper on a fresh debt. On an £8,000 invoice a US agency at 30% takes £2,400, Atradius' Europe tier takes £2,040 plus $55, and a UK agency billing 7.5% to 12.5% takes £600 to £1,000 plus a small admin fee. The US agency is simpler only if you are placing many countries at once.
How long do I have to collect a debt from a UK company?
In England and Wales a contract debt generally becomes time barred six years after it falls due under the Limitation Act 1980, and in Scotland the prescription period is five years. In practice recovery odds fall sharply long before that, so a UK invoice should be chased from the first day it is late.
- More on best commercial debt collection agencies: Most commercial collection agencies publish no price at all. Three of these six do. Here is what each charges to recover a B2B invoice, which accounts suit a fixed fee instead of a contingency, and the certification check most buyers skip.
- More on international debt collection agency: Only two of the six international collection agencies we checked publish a rate.
